Who we are
Payobook is located at 37 Ton Duc Thang, District 1, Ho Chi Minh City, Vietnam. For privacy questions or requests, contact hello@payobook.com. For help with Google calendar authorization, contact payobook@gmail.com.
Your organisation and your information
Your employer or another customer organisation may provide your account and determine which records are entered, who can access them and how they are used. Payobook processes those records to provide the service on that organisation’s instructions. Its privacy notices and agreement with Payobook also apply.
Payobook separately uses account, support and technical information to manage its customer relationships, operate and protect the service, and meet applicable obligations.
Information we handle
The information processed depends on the modules your organisation enables and the information you or your organisation provide.
- Account and contact information, organisation membership, roles and permissions.
- Employee, applicant, recruitment, attendance, leave, compensation, payroll, tax and payment records where the relevant features are used.
- Calendar events and authorization information when a calendar is connected.
- Support communications, subscription records, and technical records such as IP addresses, browser information, access logs and service errors.
- Prompts, uploaded material and relevant workspace information submitted to enabled AI features.
Why we use information
We use information to provide the selected payroll, HR, recruitment and scheduling features; manage access and approvals; respond to support requests; administer subscriptions; prevent misuse; maintain the service; and meet legal obligations.
Your organisation is responsible for its employment and payroll decisions and for providing the notices and authorizations required for its use of the service. Where consent is the basis for a feature, you may withdraw it; this does not undo earlier lawful processing.
Google Calendar
Connecting Google Calendar is optional. Google handles sign-in and consent. Payobook does not receive or store your Google password; it stores access and refresh tokens needed to maintain your authorized connection.
The current connector synchronizes the connected account’s primary calendar. Event data can include titles, descriptions, start and end times, time zones, locations, organisers, attendees and responses, recurrence, reminders and meeting links. Imported information is stored in your organisation’s Payobook database.
The installed connector requests Google’s calendar permission. Google describes that permission as allowing access to edit, share and delete accessible calendars. The Payobook synchronization feature uses primary-calendar events; connecting it does not import Gmail messages or Google Drive files.
Synchronization can work in both directions. Creating, editing or deleting a synchronized event may change the corresponding event in Google. Invitations or attendee changes may notify participants. Review event details and recipients before saving.
Google change notifications tell Payobook when to retrieve calendar changes. Periodic recovery synchronization also checks for changes. Synchronization depends on valid authorization, provider availability and service limits.
Payobook applies workspace permissions and relevant calendar-sharing rules. Calendar access does not grant a recruiter access to restricted payroll records. Payroll dates shown by the internal payroll calendar are not exported by this connector. Authorised organisation administrators and service personnel may have operational access as described below.
Limits on Google data use
Payobook uses Google user data to provide or improve the calendar and scheduling features presented to users. We do not sell Google user data, use it for advertising or credit decisions, or use it to train general-purpose AI models.
Transfers and human access are limited to what Google’s policies permit: providing the requested features, support with your consent for specific data, security investigations, legal obligations, and other expressly permitted cases. A business transfer involving Google user data requires the consent and safeguards required by those policies.
Payobook’s use of Google API information follows the Google API Services User Data Policy, including its Limited Use requirements.
Disconnecting and deleting calendar data
In Calendar → Connections, Pause stops synchronization; it does not erase events already imported or revoke authorization. To revoke Google access, remove Payobook from your Google Account’s third-party connections.
Revocation prevents future authorized access but does not automatically delete imported copies in Payobook or copies held by participants. To request deletion of imported data and stored connection information, contact your organisation’s administrator or hello@payobook.com. We will verify the request, identify the records and applicable retention duties, and explain the outcome.
If you want to remove only the Payobook copy, pause synchronization and revoke provider access first, then request removal. Deleting an event while synchronization is active may also delete the Google copy.
Optional AI features
Where your organisation enables an external AI service, prompts, submitted files and relevant feature context may be sent to its configured provider to produce a response. Your administrator can identify the enabled provider. Only submit information you are authorised to use for that feature.
Connecting Google Calendar enables synchronization; it does not by itself authorize unrelated AI processing. Google data remains subject to the limits described above. AI responses can be inaccurate and need human review before consequential decisions.
Security and international processing
Payobook uses HTTPS connections, application access controls and restricted operational access to protect information. Authorization tokens allow calendar access without storing your Google password. No service can guarantee absolute security.
The current hosting location is Australia. Your organisation’s users, authorised support personnel and selected providers may process information in other countries. Information may therefore be processed outside Vietnam or your country of residence. We handle transfers under applicable obligations and the relevant customer and provider arrangements.
Retention
Workspace information is retained while needed to provide the customer’s service, follow its instructions, maintain required employment or payroll records, resolve disputes, protect security or meet legal obligations. The relevant period depends on the record, the customer’s requirements and applicable law; a calendar connection does not set a universal deletion date.
Disconnecting a provider or closing an account does not automatically erase all information. Customers may request export or deletion through support. We review the scope, authority and any retention duties before removing records. Backup and archival copies may remain after removal from the active application; deletion requests must address those copies as well. We will explain any retained categories and the reason for retention rather than promise immediate erasure.
Your choices and requests
Depending on applicable law, you may have rights to access, correct or delete information, restrict or object to processing, obtain a copy, withdraw consent, or complain to a competent authority. For employer-controlled records, contact your organisation first. You can also contact hello@payobook.com and we will help route your request.
We may request information needed to verify your identity and authority. We will respond within applicable legal time limits and explain any limitation on your request. Payobook is a business service and is not directed to children.
Changes and contact
We will update this policy when our practices change and provide additional notice or obtain consent where required. New uses of Google data require the disclosures and consent required by Google’s policies.
